  • Missed Appointments/ Cancellation fees

We appreciate your understanding that cancellation fees are a necessary part of our business operations. We understand they can be challenging to comprehend and at times, frustrating.

As a measure of respect for your therapist and other clients, we require a minimum of 24 hours notice for any cancellations or appointment changes.

Failure to provide this notice will result in a cancellation fee equivalent to 50% to 100% of the appointment rate. Please note that appointments booked within 24 hours of the scheduled time will also be subject to the full cancellation fee.

Cancellation fees charged are based on the amount of notice given and are subject to change.

No-shows missed appointments and cancellations within 4 hours of the scheduled appointment are charged 100% of the fee for the scheduled appointment.

As a small business catering to one patient at a time, our operating costs and the therapist's income depend on the scheduled treatments.

Simply put, when appointments are missed or cancelled on short notice the therapist goes unpaid for that period and it does not leave enough time to fill the appointment.

We sincerely thank you for your understanding and cooperation.

Illness Consideration - In light of maintaining the health and safety of everyone, please cancel your appointment if you are feeling unwell. We understand that illnesses are unpredictable and may occur suddenly.

Therefore, we have implemented a special policy for illness-related cancellations.

If concerns of a communicable disease, there will not be fees with last-minute cancellations for the active illness/winter season to ensure patient and therapist safety.

  • Late Arrivals

The full appointment fee is charged, and treatment is for the remaining time.

If no arrival or communication 15 minutes after the start time; the appointment is considered a” No Show” and cancellation fees apply for the full treatment. The appointment is cancelled.

Payments: We accept Cash, VISA, MasterCard or Etransfer.

  • Working together, your medical record/chart will stay current and confidential at each and every treatment, according to the CCHPBC Bylaws.

Assessments always include discussing the reason for your current visit, and if anything is new or different in your health.

The paperwork completed for your first visit:

    • Jane App online - a health history form,

    • acknowledgment of the clinic policies

    • signed Consent to Treatment form
(Consent to Treatment forms may need to be re-signed any time there is a change in risk, for example, updates to communicable disease protocols),

    • any current communicable disease protocols (Jane online booking app)(questionnaires, waivers, etc).

Please ask if you have any question

  • Please cancel your appointment during cold/ flu/ respiratory virus season if you are feeling unwell.

A communicable disease screening survey must be completed before each appointment and will be sent by email through the Jane app online booking system 24 hrs before your appointment time.
